Action Items Template

An action items template for tracking what comes out of meetings: one task per row, one owner, a due date and a status. Carry it from meeting to meeting so nothing quietly disappears between the minutes and the next agenda.

Or skip the template: upload the recording to the minutes generator

Wave AI's free meeting minutes generator transcribes the recording with speaker labels and fills in this structure for you: attendees, discussion, decisions and action items with owners. You can also paste a transcript from Zoom, Teams or Google Meet. No account needed.

When to use it

  • After any meeting that produces follow-ups
  • Tracking commitments across a series of recurring meetings
  • Projects without a full task tool, or alongside one
  • Reviewing open items at the start of the next meeting

How to fill it in

  1. Start each task with a verb. "Send the revised quote", not "Quote". Anyone should understand the task without the meeting context.
  2. Give each task one owner. A task with two owners has none. If the owner wasn't agreed, mark it unassigned and settle it after the meeting.
  3. Add a due date and priority. Dates make tasks real. Priority tells people what to do first when time runs short.
  4. Review it at the next meeting. Go through open items first, mark them done, re-date them or drop them on purpose.

Notion-friendly Markdown

Paste this into a Notion page and the headings, lists, checkboxes and tables become Notion blocks. It also works in Obsidian, GitHub, Confluence and any Markdown editor.

Common questions

What makes a good meeting action item?

One concrete task that starts with a verb, one named owner, and a due date. "Maya sends the revised quote to Acme by Friday" is an action item; "Follow up on pricing" is not.

Should action items go in the minutes or a separate tracker?

Both work. Put them in the minutes for the record, and keep a running tracker like this one for recurring meetings so open items carry over automatically instead of being rewritten each time.

Can I use this as a Notion or Google Sheets tracker?

Yes. Paste the Markdown into Notion and the table becomes a Notion table you can turn into a database. For Sheets or Excel, copy the table's formatted text and paste it into a sheet.

Can AI pull action items out of a meeting recording?

Yes. Upload the recording to Wave's free meeting minutes generator: every template lists action items with the owner and due date when they were said, and leaves the owner blank instead of guessing when nobody committed.
