Or skip the template: upload the recording to the minutes generator

Wave AI's free meeting minutes generator transcribes the recording with speaker labels and fills in this structure for you: attendees, discussion, decisions and action items with owners. You can also paste a transcript from Zoom, Teams or Google Meet. No account needed.

When to use it

  • Team, department or committee meetings where the minutes are shared or filed
  • Any meeting where decisions need a written record people can point back to
  • Recurring meetings, so each set of minutes follows the same structure
  • When you are the designated minute-taker and want to listen instead of formatting

How to fill it in

  1. Fill in the header before the meeting. Add the meeting name, date, location or call link, facilitator and minute-taker, and paste the agenda items in order.
  2. Record attendance. List who attended and who sent apologies, so absent people know to read the minutes.
  3. Summarise each agenda item. Under each item write two or three lines of discussion, then the decision exactly as agreed. A proposal nobody agreed to is not a decision.
  4. Capture action items with an owner and a date. Every task gets one owner and a due date. Leave the owner blank rather than guessing, and chase it after the meeting.
  5. Send the minutes within a day. Share them while the meeting is fresh, and carry open action items into the next meeting's agenda.

Common questions

What should meeting minutes include?

The meeting name, date and time, attendees and apologies, the agenda, a short summary of the discussion per agenda item, the decisions made, action items with an owner and due date, open questions, and the date of the next meeting. This template has a section for each.

Can I use this meeting minutes template in Google Docs?

Yes. Download the .docx file and open it in Google Docs (File → Open → Upload), or open it in Word, Pages or LibreOffice. Headings, the agenda list and the action-items table come through as editable text.

How detailed should minutes be?

Minutes are a record of outcomes, not a transcript. Two or three lines of discussion per item is usually enough; spend the detail on the exact wording of decisions and on who owns each action. Formal bodies such as boards need motions and votes recorded too: use the board meeting minutes template for that.

Can AI write the meeting minutes for me?

Yes. Upload the meeting recording or paste a transcript into Wave's free meeting minutes generator and it fills this structure in for you: attendees from the speakers, discussion by topic, decisions, and action items with owners. Review names and decisions before you share them.
