Weekly Team Meeting Template

A weekly team meeting template that works as both the agenda and the notes. Start with last week's action items, run through wins, numbers and updates, spend most of the time on the discussion topics, and close with decisions and owners.

Or skip the template: upload the recording to the minutes generator

Wave AI's free meeting minutes generator transcribes the recording with speaker labels and fills in this structure for you: attendees, discussion, decisions and action items with owners. You can also paste a transcript from Zoom, Teams or Google Meet. No account needed.

When to use it

  • Weekly team meetings and staff meetings
  • Department syncs and leadership team meetings
  • A running agenda the whole team adds topics to during the week
  • Keeping a searchable history of decisions week by week

How to fill it in

  1. Open the doc on Monday. Copy the template for the week and let the team add discussion topics before the meeting.
  2. Check last week first. Go through last week's action items. Anything not done either gets a new date or gets dropped on purpose.
  3. Keep updates short. Updates and metrics are for reading; the meeting time goes to the discussion topics.
  4. Close with decisions and owners. Write each decision down and give every follow-up a name and a date.

Notion-friendly Markdown

Paste this into a Notion page and the headings, lists, checkboxes and tables become Notion blocks. It also works in Obsidian, GitHub, Confluence and any Markdown editor.

Common questions

What should a weekly team meeting agenda include?

Last week's action items, wins, key metrics, short updates by person or area, the discussion topics that need the group, decisions, and new action items with owners. This template follows that order.

How do you keep weekly meetings short?

Have people write their updates in the doc before the meeting and only discuss what needs the group. Put the discussion topics in priority order and stop at the time box; anything left moves to next week.

Should we keep one doc or a new doc each week?

A single running doc with the newest week at the top works well: anyone can scroll back for past decisions. In Notion, a database with this as the page template does the same with filtering.

Can I get weekly meeting notes from a recording?

Yes. Upload the recording to Wave's free meeting minutes generator and choose "Simple notes" or "Formal minutes": it writes up the discussion, decisions and action items with owners.
