Or skip the template: upload the recording to the minutes generator

When to use it

  • Client check-ins, status meetings and reviews
  • Agency, consulting and freelance project meetings
  • Account management and quarterly business reviews
  • Any meeting where you need a record of what the client asked for and approved

How to fill it in

  1. Set the objectives. Write what you need from the meeting before it starts: an approval, feedback, a decision.
  2. Record feedback and requests separately. Feedback is what they think; requests are what they want you to do. Keep them apart so scope stays clear.
  3. Note commitments on both sides. What you will deliver, and what the client owes you (content, access, approvals), each with a date.
  4. Send a recap the same day. Copy the decisions and commitments into a follow-up email so there is a written agreement.

Notion-friendly Markdown

Paste this into a Notion page and the headings, lists, checkboxes and tables become Notion blocks. It also works in Obsidian, GitHub, Confluence and any Markdown editor.

Common questions

What should client meeting notes include?

Who attended on each side, the meeting's objectives, a status update, the client's feedback and requests, decisions and approvals with who gave them, commitments on both sides with dates, and the next meeting.

Why separate client feedback from requests?

Feedback is an opinion; a request is work. Writing requests separately, marked in scope or change request, is how you notice scope creep before it happens and have a record when you price the change.

Should I send the notes to the client?

Send a recap of the decisions, approvals and commitments the same day. It confirms what was agreed and gives the client a chance to correct anything. Internal observations can stay in your own copy.

Can I turn a client call recording into notes?

Yes. Upload the recording to Wave's free meeting minutes generator and choose "Formal minutes" or "Sales call" for a buyer conversation. Tell the client you are recording and check your local consent rules.
