When to use it

  • Job interviews: phone screens, technical, behavioural and final rounds
  • Hiring debriefs where several interviewers compare notes
  • Structured interviews with the same questions for every candidate
  • Keeping consistent records for each role you hire for

How to fill it in

  1. Add the questions before the interview. Use the same core questions for every candidate for the role, so the notes are comparable.
  2. Write answers, not impressions. Note what the candidate actually said or did. Impressions go in the summary, backed by these notes.
  3. Rate each competency against the evidence. Score once the interview is over, citing the answer that justifies the score.
  4. Submit before the debrief. Write your recommendation before you hear the others, so the debrief isn't anchored by the first opinion.

Notion-friendly Markdown

Paste this into a Notion page and the headings, lists, checkboxes and tables become Notion blocks. It also works in Obsidian, GitHub, Confluence and any Markdown editor.

Common questions

What should interview notes include?

The candidate, role, interviewer and round; each question with what the candidate actually said; competency ratings tied to that evidence; strengths and concerns; the candidate's own questions; and a recommendation with a one-line reason.

Should I take notes during the interview?

Yes, briefly: key phrases and examples, not full sentences. Fill in the ratings and recommendation straight after, while it is fresh. Recording the interview (with the candidate's consent) lets you stay in the conversation and check answers later.

What should I leave out of interview notes?

Anything about protected characteristics such as age, family, religion, health or ethnicity, and personal impressions that aren't tied to job-related evidence. Interview notes can be requested by candidates in some jurisdictions, so write them as if they will be read.

Can AI write interview notes from a recording?

Yes. Upload the recording to Wave's free meeting minutes generator and choose "Interview debrief": it pulls out strengths and concerns tied to what the candidate said, notable answers and next steps. It gives no hiring verdict unless the interviewers stated one.
